Faster and more convenient: Vicoland integrates ChatGPT


The process of creating inquiries and offers is now much simpler for both customers and freelancers.


Finding the right teams for IT projects via Vicoland was already very straightforward. However, artificial intelligence now enables customers and Vicos to find each other even faster. The platform has integrated ChatGPT to streamline the process of creating requests for proposals and preparing offers. This benefits both clients and freelancers.

Customers can use the Vicoland briefing tool to describe their needs in two to three sentences. Based on this, the AI generates a structured RFP that can then be edited as required. The brief can also be revised to generate an alternative suggestion from the AI. The AI then suggests the necessary team skills for the project. This makes matching with the appropriate teams much easier, especially if customers are not well versed in a technical discipline. "Companies now only need five to ten minutes to start the process of requesting a free quote," explains Vicoland's product head, András Habsburg-Lothringen.

The ChatGPT feature also offers many advantages to freelancers organised within the Vicos. They can now create proposals tailored to a customer's RFP in a matter of minutes. This is made possible through the performance descriptions that have already been set up on the Vicoland platform. This includes automated contract creation and invoicing based on the proposal, integration with project management systems, and much more. Vicos can send their customised proposals directly to customers via the platform, and the matching process couldn't be faster.


Customers receive an offer with specific services and prices in a short period of time.


“This is achieved via API integration with a version of GPT3.5 that has been specifically trained for Vicoland purposes and continues to be trained”, András explains. Instantiation and content filtering are crucial in this process. “Through instantiation, we can optimise GPT3.5 for the specific requirements of Vicoland users”, says András. “By using content filtering, we prevent critical user data from being leaked. Our features remain GDPR-compliant.” The integration of the AI tool is an ongoing development.

What motivated Vicoland to take this step? “We want to transform the professional services market by bridging the gap between enterprise projects and freelance teams”, says András. AI can help maximise the platform’s potential. Until now, companies have often missed out on attractive outsourcing opportunities because creating a briefing is time-consuming. “By reducing this initial effort to a minimum, AI allows customers to improve their decision-making process,” András explains.

In addition, when it comes to urgent projects, response speed can be crucial. “This has already been a strength of our Vicos”, András emphasises. “But it can be further enhanced with AI”. Even complex offers can now be defined and presented to customers much faster.

A crucial aspect is compliance. Vicoland already provides a strong foundation in this regard with features such as an automated check for false self-employment. Furthermore, AI-based documentation of agreed services helps to avoid ambiguity in task distribution or description, which often leads to legal disputes. Tasks within an ongoing project can even be defined in seconds using simple bullet points on the Vicoland platform. As everything is natively integrated on the platform, the documentation remains intact and can be used in court if necessary.

And what’s next? “In the medium to long term, the goal is to establish best practices for everyone involved”, András announces. “Based on the RFPs and offers created, we can analyse which projects were successful and which failed. This enables us to continuously optimise the models. Thus, we can produce better RFPs and offers for all projects.”

Vicoland also expects AI tools to be particularly helpful for new Vico leads taking their first steps towards enterprise projects. This will make it easier for them to take on the entrepreneurial responsibility of their own Vico project.
